1. Technology overview
WCBS is a provider of management information, admissions and finance software for independent and international schools, founded in 1984 and owned by Westleigh Investments. It has offices in the UK and Dubai, operates in more than 40 countries and processes more than 2.16 billion GBP in school fees each year, having invested over 10 million GBP in its next-generation platform.
The HUB platform includes HUBmis, a cloud-native MIS built on an API; HUBadmissions for admissions marketing, parent experience and waiting lists; HUBincome for pupil billing; and HUBpay for fee collection by direct debit, Open Banking, card and FX payments for overseas families. Finance is handled by passFINANCE on-premise or PASS-hosted in the cloud, including payroll recognised by HMRC. HUB data can be hosted locally to support GDPR and other local regulations. Customers include schools in the UK, Europe, the Middle East, Africa and China.
2. Highlighted features & specifications
- HUBmis: cloud-native school MIS with a modern interface, built on a read and write API.
- HUBadmissions: admissions marketing, parent experience and waiting-list management.
- HUBincome: pupil billing for international schools.
- HUBpay: direct debit, Open Banking, card and FX payments with live status and secure payment links.
- passFINANCE and PASS-hosted: school accounting on-premise or in the cloud, including HMRC-recognised payroll.
- Local data hosting: HUB data hosted locally to meet GDPR and local regulations.
3. Potential application
An international school in Vietnam could manage enquiries, applications and waiting lists in HUBadmissions and move enrolled students straight into HUBmis. A school's finance office could bill tuition and reconcile payments from parents abroad automatically. A school group could keep MIS data hosted in-country to meet local data protection rules.
4. Benefits
Combines MIS, admissions, billing, fee collection and accounting from one vendor, reducing reconciliation between separate systems. Lets international schools collect fees from overseas families in foreign currencies with competitive exchange rates and automatic reconciliation. Speeds up onboarding for HUBpay, which takes a short form and about two weeks. Supports data residency through local hosting of HUB data, with Cyber Essentials certification.
5. Market trends & opportunities
Fee-paying and international schools are under financial pressure and want better cash flow, online fee collection and tighter links between admissions, MIS and finance. In Vietnam, international schools enrol many expatriate and overseas families and must also follow local data rules, which favours platforms that support multi-currency payments and local data hosting.
